On a short call, sequence matters more than volume. Protect the fixed dependencies first, then fit deliveries and shore work around them.
Identify what could delay departure
Set the arrival area, berth or anchorage, bridge requirement, vessel dimensions, forecast and clearance pack. Identify the jobs that would prevent departure if they slip, and keep every open item visible.
Do not schedule services against an assumed bridge passage or berth. Use one shared local-time and UTC plan with a named owner, status, blocker and next decision for each task.
Separate fixed events from movable work. Clearance attendance, bridge movements, cargo release and flights have outside dependencies; laundry, routine shopping and nonessential appointments can move around them. That distinction makes the cut-off decisions clearer when the call changes.
Validate people and goods before dispatch
Check crew and guest flights, transfer details, provisions, fuel, waste, contractors and freight release. Match each delivery to an onboard receiver, security access, vehicle details and a workable window.
Protect departure-critical work first. Combine deliveries only when deck operations, access, food safety and security allow it; apparent efficiency can create congestion at the passerelle.
Close out before departure
Before departure, check outward clearance, bridge or port movement, weather, the berth account, contractor sign-off and next-port documents. Stop nonessential work if it puts the latest safe departure time at risk, then send the final movement time to every shore contact.
